LTEF General Meeting Minutes

I.                  Blues Fest – Sean Francis and Mike Trudel, from the Blues Fest Committee, were in attendance during this portion of the LTEF Meeting.

q  Mike and Sean discussed the need to sell more tickets in advance.   They had offered the opportunity to several other local non-profit organizations to sell tickets, including the PTA, LTAA and Rescue Squad, but so far had not heard back from all of these groups.

q  We talked about offering an incentive to sponsors to sell tickets to people they know.  We also discussed the idea of giving a break on the ticket price to group sales of 25 tickets or more.

q  The board members all agreed to take tickets and promo cards to help drum up support for the event and sell advance tickets, particularly to people we know outside the township.

q  Mike Walsh asked us to think about any other local businesses that might be interested in a sponsorship.

q  The kids’ activities at the event will include a rock climbing wall and moon bounce.  The vendor will pay $200 up front, then will collect his own money from participants.

q  There will also be a coffee truck present, which will pay to have a spot, then collect money directly from customers.

q  The Blues Fest Committee will be putting out a request for volunteers.  All volunteers will get in free.

q  The Knights of Columbus have volunteered for parking and clean-up.

q  Elyse requested that we have more accurate lists at the entrance gate of people with special arrangements to get in free, to avoid some of the confusion that occurred last year.

q  Generally speaking, we will be accepting cash only for tickets purchased at the gate.  However, Elyse will be prepared for credit card transactions just in case, but they will be available only to people we know, since last year we had a few fraudulent credit card transactions.

q  So far we have no ATM.  It was suggested that we look into contracting one of the businesses that puts ATMs into the Bagelsmith, Dunkin’Donuts, etc.

q  There is a new Cajun restaurant in Long Valley that will be selling jambalaya. 

 

II.               Playground

q  Elyse suggested that we have some kind of ground-breaking ceremony when construction actually starts.

q  We discussed the fact that Collette is overwhelmed and could use help from some or all of us.  Isabelle offered to help on the accounting end.  We agreed that we should approach Collette and ask how we can help.

 

III.           Other Business

q  We got some of the flyers from John Phelps for the Shop-to-earn program.  The remainder of the flyers will be available shortly.

q  Mike would prefer to wait on the official launch of the Shop-to-earn program until after the Blues Fest.

q  Noreen suggested we hand out the flyers at the Blues Fest.
