LTEF General Meeting Minutes
Monday, January 12, 2009

Attendees: Elyse Fiers
Susan Forenzo
Anne Mankiewich
Noreen Ranallo
John Roncoroni
Bob Tabor
Mike Walsh

I. Treasurer’s Report – Elyse Fiers
q Balance Sheet and Profit & Loss Statements were distributed.
q There is $125K in the Playground Account. This is less the $8K paid for the feasibility study.

II. Committee Reports

A. Playground – Mike Walsh
q Collette and Mike will be appearing in front of the Board of Ed. on Tuesday evening to present the playground funds as a gift from the LTEF.
q The remainder of the necessary funds will be more than made up for by Cabin Fever and the Blues Fest. Since construction won’t start before May, we should have made up the full $150K by then. Collette knows of a local engineering firm that may be able to reduce the costs associated with Phase II of the Spiezel contract.
q The Playground Committee is meeting Tuesday to discuss the Cabin Fever party. They will be keeping the tickets at the same price as last year, with the exception of possibly offering a lower price to school staff. There will be wine, beer, appetizers, and a silent auction. Tickets for the event will be mailed out at the end of January.

B. Blues Fest – Bob Tabor
q 4 out of the 5 bands are confirmed. 3 of the bands are returning from last year, including CB Radio. We are also getting Mississippi Pig Farmers, who had cancelled last year due to a double booking. The headliner is Craig Thatcher & Eric Steckel.
q We will have 2 smaller acts, which will play two 15-minute intervals each to fill in-between the bigger groups. We will also have the Jazz Band from Woodglen playing at the opening, before the first act is set up.
q There will be a variety of food vendors, whom we will charge for their booths, about $200-250 each.
q The Fire Department wants to sell the beer. This is fine as long as we are collecting the money, which we could do by selling tickets for the beer. We will be handling the wine sales ourselves, rather than having a food vendor do it like last year.
q The Knights of Columbus are handling the parking for free. This represents a savings, since last year we paid for the parking service.
q The Committee is considering an early sponsor discount, allowing sponsors who sign up by a certain date to pay 10-15% less.
q They are also considering changing the name of the event to Bourbon Street Music Fest.

III. New Business

A. Internet Shopping – John Roncoroni/Mike Walsh
q John has been working with a local contact, John Phelps, to set up an “on-line shoppers club”. If shoppers enter the shoptoearn web-site through a “portal” in the LTEF site, retailers will make a cash-back donation to the LTEF.
q We will plan on having John Phelps come to our February meeting to brief us on the program.
q Susan raised the question of whether we should consider managing the program ourselves, rather than having John Phelps do so, since he must be absorbing some of the proceeds.

B. LTEF e-mail Database – Mike Walsh
q Mike would like to put all our e-mail contacts, as well as the e-mails listed in the PTA Student Directory, into a database so we have an efficient means of communicating with parents.
q Once the database is created, Mike will send out an initial message letting people know that we will be using their e-mails to keep them up-to-date on LTEF activities and events, but that we will limit our notifications to 4 per month. He will give them an option to opt out of the database, so that no one will receive our e-mails if they don’t want to.
q Anne and Noreen will be working on entering e-mails from the Student Directory into the new database.
